8-06 VEB Meeting minutes

 

Call to order:

  • The August 17, 2006 meeting of the Volunteer Executive Board at the White City Training Center was called to order at 1835 hours by Vice Chair Ponder.

 

In Attendance:

  • Turcke, Servatius, Ponder, Peters, McKinley, S. Baker, Turco.

 

Excused:

  • Neuenschwander, Mahar,

 

July Minutes:

  • A motion made by Servatius to approve the June meeting minutes was seconded by Peters, and carried unanimously.

 

Finance/ Budget:

  • A motion made by Peters to approve the financial report was seconded by Servatius, and carried unanimously.

 

Corrections / Additions:

  • None

 

Informational Items:

  • Firefighter Adam Chenoweth has been developing an internship program proposal which he plans to submit soon. Vacant on-duty volunteer positions are being held open until the submitted proposal has been reviewed by Staff.

 

Old Business:

  • Volunteer interviews – None currently scheduled. Turco will contact the Board when another date can be set.

 

  • VEB Pagers – Peters will be assigned one of the Central Point VEB pagers. No update on programming pagers to receive alarm information.

 

  • Summer Picnic – Servatius presented a great draft questionnaire for the Board’s review. Following a few suggested additions, the questionnaire will be finalized and given to Turco for distribution.

 

  • OVFA Conference 2009 – Nothing to report.

 

  • Fleece apparel – Tabled pending further information.

 

  • Budget –

-          As stated in District policy, on-duty volunteers will no longer receive reimbursement for training received while in on-duty status, unless they are attending a drill. All other training done when not in on-duty status will be reimbursed as usual.

 

8-06 VEB Meeting minutes

 

-          Turco will prepare a fund transfer proposal for Staff approval. The transfer will cover call reimbursements, support services, and funding for planned Christmas functions. The remaining budgeted funds will be transferred on December 15th, 2006.

-          On August 10th, Negrete, Servatius, Ponder, and Turco met with CFO Maxwell and Bookkeeper Robin Adams for the annual financial review. CFO Maxwell suggested the Board consider determining how long after a volunteer leaves the Board wishes to keep the equipment deposit amounts on the books as a liability, and including more details on expenditures in monthly meeting minutes. In addition, Volunteer Requisition forms will be taken to all meetings to be filled-out as soon as expenditure decisions are made. Turco will fax the completed forms to Robin Adams following the meetings.     

 

  • Southern Oregon Volunteer Training Camp – The Volunteer Executive Board is supportive of the concept of the District hosting this training opportunity and ready to start planning. It was recommended the Volunteer Captains and Engineers become involved in this as well.

 

  • Required Homeland Security Training – Turco mentioned that volunteers who have not yet completed IS 100, 200, and 700 will be asked to do so as soon as possible, as the next required training class (Weapons of Mass Destruction) will begin soon.

 

  • 2006 OVFA Conference – Turco mailed letters to the two volunteers required to reimburse the District for canceling their attendance after the refund deadline. 

   

New Business:

  • Chair position – Nominations were opened and voting was conducted to fill the Chair position vacated by Richard Negrete. Jason Servatius was elected to serve as Board Chairperson.

             

  • Board vacancies – Representatives from Dodge Bridge, Sam’s Valley, and Eagle Point Stations are needed to fill current vacancies. Turco will contact Volunteer Captains. 

 

  • Scholarship checks – The checks are available for Crater and Eagle Point High Schools. Turco will distribute.

 

Individual Board Member Comments:

  • Jeff Peters expressed his gratitude for the opportunity to serve, and has an interesting seeing some stagnant projects completed.

  • The Board expressed their appreciation to Richard Negrete for his years of service as VEB Chairperson. 

 

Next VEB Meeting:

  • September 21st, 2006, 1830 hours in the White City Warehouse Meeting Room.

 

Adjournment:
